ORCID at Oxford

ORCID (Open Researcher and Contributor ID) is a unique number to identify researchers and their work throughout their careers. Your ORCID can link you to your publications, data, and funding information regardless of changes in your name, position, or institution. An increasing number of publishers and funders are using ORCID when you submit your publications or grant applications. At Oxford, you can use ORCID to connect to various systems supporting open research, including Symplectic Elements, Open Science Framework (OSF) and Shortform Hosting at Oxford (SHOx).

Setting up and connecting your ORCID

There are two steps you should complete to have a fully affiliated and connected ORCID.

We recommend using the below process as it will automatically affiliate your new ORCID to Oxford while you register.

  1. Go to IT Services https://register.it.ox.ac.uk/self/orcid (with Oxford Single Sign On).

  2. Click Login to ORCID.

  3. This takes you to the ORCID website. Fill in the form (name, university email, create password, etc) and click Authorize.

  4. This creates your ORCID, and returns you to IT Services Self Registration which confirms your ORCID has successfully been linked to your Oxford account.

  5. Click 'return home'

  6. Your ORCID number is displayed, and an option to 'View your ORCID profile'. Clicking on it will return you to the ORCID site. You need to sign in if you wish to add information such as publications.

  7. Logout of IT Services Self-Registration.

If you already registered for an ORCID elsewhere you should affiliate your ORCID to Oxford. This will allow easier tracking and interoperability with Oxford's systems.

  1. Go to your ORCID account and delete any manually entered Employment.

  2. Go to https://register.it.ox.ac.uk/self/orcid and log in with your Oxford SSO.

  3. Click Login to ORCID. This takes you to the ORCID website.

  4. Click Sign in (next to 'Already have an ORCID iD?').

  5. Enter your email and password.

  6. Click Authorize to link your ORCID to your Oxford account and to add ‘The University of Oxford’ as your verified affiliation to your record.

  7. A page indicating that your ORCID is linked to your Oxford account will be displayed.

  8. Click 'return home'

This helps the University match your publications automatically and reduce your admin load later. It only takes a few minutes.

1. Connect your ORCID: Authorise your Symplectic Elements account to connect to your ORCID. The system may suggest an ORCID profile it thinks is yours.

  • Log into Symplectic Elements. Go to Menu > My profile > Settings > Automatic claiming. 
  • If your ORCID ID is listed under 'Do these identify you?' - click Yes and then Confirm.
  • Otherwise click the ORCID link under ‘Add external profiles’. Follow the steps to log in to your ORCID account and authorise access for Elements

2. Turn on autoclaiming: this allows Symplectic Elements to automatically claim any publications your ORCID is linked to, so you don't have to enter them manually.

  • When connecting your ORCID (above) you may see the option ‘Auto claim associated items’. Select this and click ‘Confirm’

Displaying and using your ORCID

ORCID's recommended format is:  http://orcid.org/0000-0002-1825-0097.

  • When applying for a grant or submitting an article for publication with a funder or publisher you may be able to login using your ORCID.
  • Authors can also add ORCIDs to their CV, business cards or personal website.
  • Funders such as the Wellcome Trust require ORCIDs in grant applications.

ORCID troubleshooting

Though the process for registering and affiliating ORCIDs should be seamless we have identified a few reoccurring issues.

The ORCID verification is a 'snapshot' of your Oxford card information at the time of affiliation and will not change if your card information does.

Verified affiliation (Employment) will not overwrite manually entered information on your ORCID account.

  • Check under the 'Employment information on your front page
  • If the source is not “ORCID Integration at the University of Oxford” then it is not a validated affiliation

Manual affiliation

If you don’t already have an Oxford ORCID and the affiliation is not displaying as intended, you may have a manual entry blocking the process:

  1. Delete the manually entered Employment on your ORCID account.
  2. Go to https://register.it.ox.ac.uk/self/orcid and follow the instructions to link an existing ORCID

Pre-existing incorrect affiliation information

If you have an Oxford ORCID with incorrect information you will need to 'reaffiliate' to correct the information:

  1. Go to https://register.it.ox.ac.uk and follow the instructions to unlink your ORCID at Oxford.
  2. Go to your ORCID account and delete any manually entered Employment.
  3. Go back to https://register.it.ox.ac.uk and follow the instructions to link an existing ORCID.

If details of your affiliation to Oxford is not shared outside ORCID then you will not be able to make use of the benefits of your affiliation – e.g., in OSF you will not be able to affiliate your projects with Oxford.

  1. Go to your ORCID account and change the sharing on your Oxford affiliation details to “Everyone”. 
  2. For some tools it may be sufficient to allow sharing with “Trusted Parties”

ORCID verification is a 'snapshot' of your Oxford card information at the time of affiliation and will not change if your card information does. If you leave Oxford you should 'turn off' the affiliation before you leave; the process is not automatic:

No longer have a Single Sign On?

If your Single Sign On has lapsed you can simply delete the Oxford affiliation and manually add your information.

ORCID are able to merge identifiers so you will have only one, but anyone using the other(s) will be redirected.

We can arrange for this to happen, and if needed change the ORCID registered with the University.

Linking and other uses

You can link your ORCID to many other researcher IDs see ORCIDs 'Add person identifiers' for details

ORCID will import BibTeX files which can be generated by the majority of reference management applications such as Mendeley. Once the import is complete, individual references imported can be checked and saved to your ORCID profile or the whole list of imported references can be added in one go:

1. Export the references you want to include in ORCID as at BibTeX file from your reference manager (the method for achieving this will vary depending on the reference management package being used)

2. Log in to your ORCID profile.

3. Under the ‘Works’ section click ‘Add Works’ and choose ‘Import BibTeX’.

4. Browse for the BibTeX file on your computer and import.

5. ORCID will list the references it has found in the BibTeX file.

6. Save each reference individually to your ORCID profile or choose to save all.           

importing from reference manager

With your permission, ORCID will import articles from Scopus, Web of Science, Europe PubMed Central and CrossRef, among others. Simply login to ORCID, click the Link Works button in the Works section of your profile, then click the link to the resource from which you want to import citations. Only citations with a unique identifier will be imported (e.g., DOI, ISBN).

Manually add citations to an ORCID record

Login to ORCID and click the 'Add Work Manually' button in the Works section of your ORCID record. This will display a template for you to enter citation information and set access control on this item.

You have sole control over your ORCID account. The University will not insert or edit data on any ORCID records. The privacy setting applied on ORCID accounts dictates who is able to see data.

You have control over the data that the University shares with ORCID. In order to obtain an ORCID and to validate you as a member of the University of Oxford, you need to provide a minimum amount of data which is shared: your name and your email addresses. It is up to you whether or not you add any further information on your ORCID record.

Data displayed by ORCID

The IDs assigned by ORCID are designed to be publicly available. The ORCID will be freely available along with your name. This is so you can be associated with your outputs and they can be attributed to you. You can choose what information to keep private and what to make public on your ORCID account and can edit your name. You can add further information to other fields on your ORCID account if you choose: what information is made public and what remains private is up to you. Beyond that, you choose which information you want assign as public or private by managing the settings in your personal ORCID account.

Once you have claimed your ORCID, the settings are in your control.
